BACKGROUND
The complete congress administration and logistics will be carried out by NeT congress and
Education, previously called Newtours, an internationally recognized PCO based in Florence, and
one of the best PCO in Italy.
NeT is one of the most important Italian companies in the events management sector, and it is a
company part of Alessandro Rosso Group, one the most important Italian holding company with
head office based in Milan, with offices also in Rome, Turin and Florence..
NEWTOURS started its activity in 1979 and has a great experience with complete congress
administration, organization and management for a number of scientific national and international
congresses up to some 10,000 participants. Founded in 1979 by Giuseppe Lepri, the company
immediately channelled its activities towards the organization and management of all kinds of
events connected with association’s conferences, corporate communication and training, incentives
and promotion, operating at both national and international level.
From the very beginning, the primary objective of the company has been to constantly expand and
perfect the professionalism of the human resources available, and to consistently update

Net is a public company with a solid economic-financial structure, with direct management of its
shareholders and with personnel who, fifteen years ago, chose to operate and grow within this
company. Net has a staff of 30 experienced people.
Since July 2007, NeT is part of Alessandro Rosso Group and has extended its global presence by

Congresses (PCO Professional Congress Organizers)
Delegate the organization and entire management of congresses, conventions, symposia and meetings from
10 to 10,000 participants and for global Association Management.
NeT supervises and supports all the stages of a conference, closely collaborating with and supporting the
work of organizing committees, from the selection of the destination, venue and realization of the bid down
to the organization of all the details of the congress.

Webinars and meetings
Web meetings offer both Italian and international customers a highly effective alternative or complimentary
service to conventional meetings. Save time, costs and human resources while hosting meetings with a
larger number of participants. International teams can now get together without the need for travel,
improving efficiency and cross-border teamwork.
Virtual meetings are managed by dedicated platforms and with the assistance of technicians and

Association Management
Associations are very labour intensive, particularly activities such as the organisation of congresses, training
courses and similar initiatives.
NeT manages association web sites and their communications with members, collects membership fees,
maintains and is responsible for accounting books and prepares balance sheets, runs the membership
database and handles correspondence. It also co-ordinates management boards and is the operating and
consulting referral for the Association, enabling it to reach its specific goals as well as to manage public
activities at an institutional level.
 Provider and CME
NeT is accredited as a national provider with Italy’s Ministry of Health (ID n° 110) for remote courses and
for the organisation of residential training courses throughout Italy.
Training projects are developed by the Scientific Board upon request by the scientific managers of different
therapeutic areas. The design phase (development cycle) involves:
The processes for supplying training were developed internally and are managed through a quality system
that meets the UNI EN ISO 9001:2008 standards.
 Pharma
As an approved Provider of the Italian Ministry of Health for CME credits (identification n°. 110), we support
all bodies in the need to organize medical education programmes as well as pharmaceutical companies for
their stand-alone conferences, classroom-based or remote training courses and events, or participate to
international congresses and trade fairs abroad.
 Stand alone and delegations
Pharmaceutical and other companies call on NeT to supervise and manage the organisation and
management of conventions, standalone events, official visits and participation in trade fairs and congresses.
Forget the complications of setting up exhibition areas and managing international delegations.
You can communicate effectively with a strong territorial presence, while totally respecting deontological
regulations.

Host effective conventions, special events and product launches – with a special focus on Italy, the ideal

QUALITY CERTIFICATION
The Alessandro Rosso Group (of which NeT is part) has recently been assigned the quality certification ISO
9001/2008 for working processes. See the certificate herewith enclosed.
The result is the consolidated capacity of monitoring constantly the key quality indicators during all the steps
of the working process and, when needed, promptly applying the corrective actions in order to avoid non
conformity in the process.

Promotion and Dissemination of the event by mailing of the First Announcements to the
database, available for the customer.
Sponsor Management: NeT can draw a Sponrsorship Prospect, with many sponsorship forms in
accordance with the client. Also, they can follow the relationship with sponsors on behalf of the
Organizing Committee, with completion of the billing activities. NeT has developed over the years, a
newtwork of national and international relationships to facilitate contacts with companies and
organizations. Many organizations and associations refer to NeT for consultancy and development of

Online Management
With NeT’ proprietary Easy Congress solution, what seems complex becomes remarkably simple. Thanks
to the online management of registrations, hotel reservations and social programs for both single
participants and corporate delegations, both customers and end-users receive 24/7 service. The
management system is connected to the administration department so as to ensure an efficient,
streamlined and functional management, along with a continuous and transparent monitoring of
conference budgets.
The most innovative programs currently available are used to manage your scientific programs, from the
submission and evaluation of abstracts and posters to the uploading on a dedicated web site and
publishing on a CD or in hardcopy. Customization along with the use of standardized platforms ensure
you receive high quality integrated services at very competitive rates.
Speaker Services
NeT sets up a contact plan with speakers selected by the Scientific Secretariat. All speakers will receive
the necessary information and the documentation relevant to their travels, hotel reservation, scientific
information and all services and communications previously agreed upon with the Scientific Committee.
A specific staff figure is assigned for this services, to operate a careful and personalized service.
Communication
NeT can create:
- Construction of congress website composed of numerous pages with dynamic management
which allows for real time updates. The congress website is directly linked with the registration and
housing database program and, upon request, with the abstract submission link. Event designed
websites are intuitive and include all necessary sections necessary for a successful management of the
congress. It is possible to provide the client with a fact sheet on the website accesses, the most popular
clicks and the nationality source of information request (to be agreed upon during the set up of the
website).

- Drawing and creation of congress logo
The success of your event also largely depends on the promotion. From paper dissemination to web
promotion, key contents and the scientific depth of the event are communicated to all participants
through a taylor-made graphic image, through short and assertive messages, and the use of
technological and innovative communication tools.
This is also communicated through the congress logo which NeT can assist in providing.
- Graphic design and production of congress materials which includes: creation of all the graphic
materials in tune with the objective of the event. These will include scientific programs, formal
invitations, headed paper, leaflets and informative brochures, and anything else that is deemed
necessary for the dissemination and promotion of the event.
- Press office A group of experts will follow closely all operations relevant to the press office, the
disclosure of information and the contacts with journalists to enhance the visibility of the event and
ensure a return of image. It will be our best care to organize a press release, to sensitize the national,
local and specialized press offices. NeT also coordinates the onsite logistics requested for and by
journalists.
Promotion
Once the event has been assigned as PCO NeT will draw up a Marketing Plan.
Personnel
NeT ensures the supervision of every logistic detail by assigning a Project Leader to supervise the
management of the event both during the preparation and onsite. As such the project leader will
guarantee all support necessary even in unforseen last minute requests. NeT will provide a careful
management, a team accurately chosen and corresponding to the number of participants and to the
services prospected for the event. All personnel is highly qualified, professional, multilingual and able to
guarantee technical assistance, supervision during technical sessions, assistance to speakers, high
technical reliability to exhibitors, courtesy and efficient assistance to press delegates, rapidity and
precision at registration desk, informative support on hotel reservation as well as tours, travels and social
programs.
Particular focus is put also to the enrolling of voluntary assistants, by building awareness in the sectors’
associations and institutions. Additional assistants are also hired during the more crucial operative
phases of the congress set up and dismantling.
Congress Kit
NeT oversees the composition of onsite congress kits.
Congress bags are personalized with the congress logo and, where it applies, with additional sponsor
logos. These are filled with informative technical and sponsored brochures, badges, pen and paper,
catering vouchers, city maps and additional materials requested by the clients.
Ecological materials and biodegradable materials are given priority and careful attention is given to
recycling processes at the end of the event.

Congress venue
NeT, manages and coordinates venue spaces from the chosen location, as per client requests and specific
event requirements.
Scientific, commercial and poster exhibition
NeT holds a long standing tradition of comprehensive management of all services related to the
exhibition floor. An exhibitor manual will be issued and will include information integral to participate to
the Exhibition, listing official contractors specifically selected to guarantee the smooth installation and
dismantling and operation during exhibition. We will manage all onsite sponsor services upon request
and relevant invoicing, always ensuring a professional risk evaluation assistance and the strict observance
of regulation and safety during the processes of set up/dismantling and during the event.
NeT also manages completely operations leading to large poster exhibits, and onsite set up and author
assistance.
Management of participant hospitality
NeT has long standing experience in managing housing requirements. It is always our best care to locate
the best hotel structures based on the evaluation of price/quality ratio and to ensure for all participant
delegates the best applicable contract conditions.
Our web database management “Easy Congress”
enables participants to view hotel description, rates, location and to proceed to finalizing the reservation
with the payment. Participants may also proceed by downloading from the congress website a Hotel
Reservation Booking Form to be filled in which will require: personal details, payment details, Hotel
requirements or hotel category (5/4/3 star hotels, or housing arrangements at lower cost) which is to
include B&B treatment, vat included. Participants will be required to guarantee the reservation through
the payment of a 1 night deposit, through bank transfer or credit card. NeT will manage wholly the
correspondence with participants and contracting with hotels, also providing a periodic rooming list,
timely communication of changes in reservation, and confirmation letters to participants of all finalized
reservations. Confirmation letters are in all effects valid as vouchers for hotel check in.
Transfer to/from the Congress Center
NeT offers all types of transfer services from local airports to hotels and congress venue, both for arrivals
and departures. The service is optimized to offer the best quality and cost containment by organizing
bus departures based on the arrival and departure timetable which will be requested from participants in
advance.
Upon arriving, participants will be assisted by our personnel through a dedicated welcome desk, set up at
the airport’s arrival terminal.
The transfer service to/from the congress center during the event is coordinated in compliance with the
scheduled congress program and a plan for cost containment and reduction of environmental pollution
impact. From these considerations stems the proposal in some marketing plan to utilize ecological
transportation means as well as public transportation systems.

NeT supervises and supports all the stages of a conference, closely collaborating with and supporting the
work of organizing committees, from the selection of the destination, venue and realization of the bid down
to the organization of all the details of the congress.

Web meetings offer both Italian and international customers a highly effective alternative or complimentary

Association Management
Associations are very labour intensive, particularly activities such as the organisation of congresses, training
courses and similar initiatives.
NeT manages association web sites and their communications with members, collects membership fees,
maintains and is responsible for accounting books and prepares balance sheets, runs the membership
database and handles correspondence. It also co-ordinates management boards and is the operating and
consulting referral for the Association, enabling it to reach its specific goals as well as to manage public
activities at an institutional level.
 Provider and CME
NeT is accredited as a national provider with Italy’s Ministry of Health (ID n° 110) for remote courses and
for the organisation of residential training courses throughout Italy.
Training projects are developed by the Scientific Board upon request by the scientific managers of different
therapeutic areas. The design phase (development cycle) involves:

that meets the UNI EN ISO 9001:2008 standards.
 Pharma
As an approved Provider of the Italian Ministry of Health for CME credits (identification n°. 110), we support

- Drawing and creation of congress logo
The success of your event also largely depends on the promotion. From paper dissemination to web
promotion, key contents and the scientific depth of the event are communicated to all participants
through a taylor-made graphic image, through short and assertive messages, and the use of
technological and innovative communication tools.
This is also communicated through the congress logo which NeT can assist in providing.
- Graphic design and production of congress materials which includes: creation of all the graphic
materials in tune with the objective of the event. These will include scientific programs, formal
invitations, headed paper, leaflets and informative brochures, and anything else that is deemed
necessary for the dissemination and promotion of the event.
- Press office A group of experts will follow closely all operations relevant to the press office, the
disclosure of information and the contacts with journalists to enhance the visibility of the event and
ensure a return of image. It will be our best care to organize a press release, to sensitize the national,
local and specialized press offices. NeT also coordinates the onsite logistics requested for and by
journalists.
Promotion
Once the event has been assigned as PCO NeT will draw up a Marketing Plan.
Personnel
NeT ensures the supervision of every logistic detail by assigning a Project Leader to supervise the
management of the event both during the preparation and onsite. As such the project leader will
guarantee all support necessary even in unforseen last minute requests. NeT will provide a careful
management, a team accurately chosen and corresponding to the number of participants and to the
services prospected for the event. All personnel is highly qualified, professional, multilingual and able to
guarantee technical assistance, supervision during technical sessions, assistance to speakers, high
technical reliability to exhibitors, courtesy and efficient assistance to press delegates, rapidity and
precision at registration desk, informative support on hotel reservation as well as tours, travels and social
programs.
Particular focus is put also to the enrolling of voluntary assistants, by building awareness in the sectors’
associations and institutions. Additional assistants are also hired during the more crucial operative
phases of the congress set up and dismantling.
Congress Kit
NeT oversees the composition of onsite congress kits.
Congress bags are personalized with the congress logo and, where it applies, with additional sponsor
logos. These are filled with informative technical and sponsored brochures, badges, pen and paper,
catering vouchers, city maps and additional materials requested by the clients.
Ecological materials and biodegradable materials are given priority and careful attention is given to
recycling processes at the end of the event.

Congress venue
NeT, manages and coordinates venue spaces from the chosen location, as per client requests and specific
event requirements.
Scientific, commercial and poster exhibition
NeT holds a long standing tradition of comprehensive management of all services related to the
exhibition floor. An exhibitor manual will be issued and will include information integral to participate to
the Exhibition, listing official contractors specifically selected to guarantee the smooth installation and
dismantling and operation during exhibition. We will manage all onsite sponsor services upon request
and relevant invoicing, always ensuring a professional risk evaluation assistance and the strict observance
of regulation and safety during the processes of set up/dismantling and during the event.
NeT also manages completely operations leading to large poster exhibits, and onsite set up and author
assistance.
Management of participant hospitality
NeT has long standing experience in managing housing requirements. It is always our best care to locate
the best hotel structures based on the evaluation of price/quality ratio and to ensure for all participant
delegates the best applicable contract conditions.
Our web database management “Easy Congress”
enables participants to view hotel description, rates, location and to proceed to finalizing the reservation
with the payment. Participants may also proceed by downloading from the congress website a Hotel
Reservation Booking Form to be filled in which will require: personal details, payment details, Hotel
requirements or hotel category (5/4/3 star hotels, or housing arrangements at lower cost) which is to
include B&B treatment, vat included. Participants will be required to guarantee the reservation through
the payment of a 1 night deposit, through bank transfer or credit card. NeT will manage wholly the
correspondence with participants and contracting with hotels, also providing a periodic rooming list,
timely communication of changes in reservation, and confirmation letters to participants of all finalized
reservations. Confirmation letters are in all effects valid as vouchers for hotel check in.
Transfer to/from the Congress Center
NeT offers all types of transfer services from local airports to hotels and congress venue, both for arrivals
and departures. The service is optimized to offer the best quality and cost containment by organizing
bus departures based on the arrival and departure timetable which will be requested from participants in
advance.
Upon arriving, participants will be assisted by our personnel through a dedicated welcome desk, set up at
the airport’s arrival terminal.
The transfer service to/from the congress center during the event is coordinated in compliance with the
scheduled congress program and a plan for cost containment and reduction of environmental pollution
impact. From these considerations stems the proposal in some marketing plan to utilize ecological
transportation means as well as public transportation systems.

NeT offers clients its expertise in technological supports and devices to be used during the congress,
offering the last updates on technologies, and developing platforms to meet the client needs. Audiovisual
and technical equipment during the Congress is managed by the conference venue, and always
monitored and coordinated by NeT, ensuring the quality of all services and, when necessary timely
solutions to unforeseen problems that may occur
Printing services
Once the graphic image of the event has been drawn, NeT assigns printing services to the best provider.
The choice of the provider is based on the following criteria:
- evaluation of outstanding quality as per cost of service
- planning and timing of services rendered
- care for the environment and ecological approach ( for ex. printing on recycled paper)

Sponsor Management
The management of the congress revenue, such as registrations, hotel deposits, company sponsorship, is
carried out with the direct supervision of the congress Executive Committee.
With this regards, upon request of the Executive Committee, a bank account can be opened through our
bank partner, to manage the congress in exclusivity.

NeT’ fee will be established following a briefing on specific needs of the association.
