Descrizione del software di interfacciamento con i sistemi gestionali (art. 01595)
Il software d’interfacciamento con i sistemi gestionali rende possibile il passaggio di informazioni salienti fra il software gestionale amministrativo (Property
Management System, nel seguito del manuale verrà chiamato anche PMS per semplicità) utilizzato per l’amministrazione della struttura alberghiera ed il
Software Well-contact Suite (Basic cod. 01590 o Top cod. 01591 che, per semplicità, nel manuale verrà chiamato anche WCS).
IMPORTANTE:
Ogni PMS prevede un proprio protocollo per la comunicazione dei dati. Se il PMS utilizzato non è fra quelli già gestiti dal software di
interfacciamento con i sistemi gestionali la comunicazione non sarà possibile. In tal caso risulta necessario comunicare tale mancanza al
fornitore del gestionale ed a Vimar richiedendo che vengano intrapresi gli opportuni sviluppi.
Le funzionalità
• Passaggio dei dati principali relativi all’anagrafica del cliente ed alla prenotazione, dal PMS al Software WCS, con creazione automatica della scheda
del cliente e della prenotazione.
• Scrittura ed attivazione automatica della tessera.
• Disattivazione automatica delle chiavi in fase di Check-Out.
Altre caratteristiche
Il software d’Interfacciamento con i sistemi gestionali non prevede un’interfaccia verso l’utente.

SEZIONE INSTALLAZIONE

Procedura di installazione del software
Il software d’interfacciamento con i sistemi gestionali viene installato automaticamente con l’installazione del Software Well-contact Suite Basic cod. 01590
o Software Well-contact Suite Top cod. 01591. Finché non viene attivata la licenza specifica del servizio tale componente rimane inoperante.
Per l’attivazione della licenza è necessario seguire l’opportuna procedura descritta nel paragrafo Attivazione Licenza.
Dopo aver installato correttamente il software WCS, affinché possa essere utilizzato in tutte le sue funzionalità, è necessario effettuare opportune
configurazioni descritte nel capitolo Configurazione interfacciamento verso software gestionale.
Le operazioni di configurazione potranno essere effettuate solamente da utenti del software dotati di elevati privilegi di accesso al software stesso.
Aggiornamento del software
Il software d’interfacciamento con i sistemi gestionali viene aggiornato automaticamente con l’aggiornamento del Software WCS.
Per effettuare l’aggiornamento del software procedere come descritto nel Manuale Utente del Software WCS installato.

SEZIONE CONFIGURAZIONE

Premessa
Dopo aver installato correttamente il Software WCS, affinché possa essere utilizzato in tutte le sue funzionalità, è necessario effettuare alcune operazioni
di configurazione. Tali operazioni saranno descritte nel dettaglio nei successivi paragrafi. Nel capitolo Configurazione interfacciamento verso software
gestionale sono riportate le operazioni generiche valide per tutti i tipi di gestionali, mentre nei capitoli successivi sono descritte le operazioni da svolgere
per ogni singolo PMS compatibile.
Configurazione interfacciamento verso software gestionale
Si accede alle sezione “Attivazione/Configurazione Interfacciamento Generale” attraverso il menu “Configurazioni”, come descritto in Figura 1.

Comparirà la finestra rappresentata in Figura 2. In tale finestra se il componente non è ancora stato attivato risultano selezionabili i pulsanti Genera
Richiesta ed Attiva, mentre la selezione dello specifico gestionale non è resa possibile.

Il “Software integrativo di Well-contact Suite per interfacciamento con software gestionali amministrativi” va attivato con una procedura ad hoc descritta
nel paragrafo seguente.
Attivazione Licenza
Per attivare la funzionalità di interfacciamento con software gestionale è necessario seguire la procedura di seguito riportata:
• premere il pulsante Genera Richiesta e selezionare la cartella in cui salvare il file di richiesta (si suggerisce di utilizzare la cartella documenti );
• accedere al sito www.vimar.eu portarsi su Prodotti -> Software di prodotto e selezionare la voce Rich. attivazione interfaccia WCS-gestionali;
• recarsi dal grossista e acquistare la chiave USB; compilare il form presente seguendo le istruzioni incluse ed allegando il file appena creato;
• una volta ricevuto il file di risposta (contenuto nella chiave USB del prodotto), premere su Attiva per concludere l’attivazione; verrà richiesto di selezionare
come prima cosa il file generato per la richiesta (estensione .xreq) e subito dopo quello ricevuto come risposta (estensione .xresp). Se tutto sarà andato a
buon fine apparirà il messaggio di Figura 3.

Premendo su Ok si ritornerà alla finestra di Attivazione/Configurazione Interfacciamento Gestionali che apparirà come segue; poiché il componente è stato
attivato i pulsanti Genera Richiesta ed Attiva non saranno più selezionabili, mentre finalmente risulterà possibile la selezione del software gestionale.

Selezionare il gestionale amministrativo ed effettuare la configurazione
Dal box di scelta multipla selezionare il PMS utilizzato; una volta effettuata la selezione saranno rese disponibili dalle opzioni in più utili per poter configurare
le componenti del sistema selezionato. Le opzioni rese disponibili saranno un sottoinsieme dell’elenco di seguito riportato:
• Connessione al Bus: parametri generici obbligatori per ogni gestionale, raccoglie i dati necessari a permettere la comunicazione del componente
d’interfacciamento con l’impianto.
• Parametri di Comunicazione: obbligatoria per ogni gestionale, raccoglie i dati necessari a permettere la comunicazione fra il PMS ed il sistema WCS;
• Programmatori di Card: contiene la tabella di transcodifica dei programmatori di tessere specificabili dal PMS, nome ;
• Accessi Comuni: tabella di transcodifica degli accessi comuni (piscina, sauna, garage, … ).
In Figura 5 a titolo di esempio è stato selezionato Micros-Fidelio1 uno fra i PMS gestiti al momento della stesura del seguente manuale. Si può notare la
presenza di tutte le opzioni sopra elencate. Nei paragrafi seguenti sono descritte le procedure di inserimento dati componenti elencate.

Specificare i parametri di Connessione al Bus
Una volta selezionata l’opzione Connessione al Bus, si otterrà la schermata in Figura 6.

In questa sezione vanno specificati i parametri per la connessione al Bus, ovvero i parametri di comunicazione del servizio Falcon Gateway, tali dati sono
visualizzabili utilizzando il software Gateway Configurator installato assieme. In Figura 7 una configurazione corretta.

Gestionale Micros–Fidelio
Premessa
Il software d’interfacciamento con i sistemi gestionali è compatibile con la versione 2.20 del protocollo FIAS sviluppato per “Micros - Fidelio”.
Selezionare il PMS ed effettuare la configurazione
Dal box di scelta multipla selezionare il gestionale amministrativo utilizzato (Micros - Fidelio); una volta effettuata la selezione saranno rese disponibili le
opzioni utili per inserire le informazioni di configurazione peculiari per il sistema selezionato. Le opzioni riportate saranno le seguenti:
• Parametri di Comunicazione;
• Programmatori di Card;
• Accessi Comuni;
Nei paragrafi seguenti viene spiegato come procedere nella configurazione dei parametri sopra elencati. In Figura 8 è stato selezionato Micros - Fidelio.

Specificare i Parametri di Comunicazione
Una volta selezionata l’opzione Parametri di Comunicazione, si ottiene la schermata presente in Figura 9.

Inserire i dati richiesti; in “Micros - Fidelio” la comunicazione avviene tramite servizio di rete sono quindi necessari l’indirizzo della macchina in cui è installato
“Micros - Fidelio” (IP gestionale) e la relativa porta di comunicazione (Porta gestionale). In Figura 10 è riportato un esempio di configurazione valida nel quale
la macchina nella quale è installato “Micros – Fidelio” è la stessa in cui è installato WCS.

Specificare i parametri di un Programmatore di Card
Vanno inseriti tutti i programmatori che si desidera utilizzare con “Micros – Fidelio”. Dopo aver specificato i riferimenti ai programmatori di tessere presenti,
tramite l’interfaccia proposta dal sistema “Micros – Fidelio” passare alla configurazione del sistema WCS come di seguito riportato.
Selezionando l’opzione Programmatori di Card, si otterrà la schermata in Figura 11.

Selezionando il pulsante Aggiungi Programmatore, apparirà una nuova riga nella tabella come riportato in Figura 12.

1. Nella colonna IP inserire l’indirizzo della macchina alla quale è stato collegato il programmatore di card;
2. Nella colonna Porta inserire la porta alla quale lavora il servizio programmatore (tipicamente 8001);
3. Selezionare il check presente nella colonna Usa Crittografia se effettivamente si usa la crittografia e quando viene richiesto (si veda Figura 13) inserire
la chiave di crittografazione;

4. Nella colonna Programmatore Gestionale inserire la codifica utilizzata lato “Micros – Fidelio” per identificare il particolare programmatore (tipicamente
vengono utilizzati i valori ‘01’, ‘02’, ecc...).
Se sono presenti altri programmatori di tessere ripetere la procedura per tutti quelli presenti.

Specificare gli Accessi Comuni
Vanno inseriti tutti accessi comuni che sono previsti lato “Micros-Fidelio”. Dopo aver specificato tramite l’interfaccia proposta dal sistema Micros-Fidelio i
riferimenti agli accessi comuni presenti, passare alla configurazione del sistema WCS come di seguito riportato.
Selezionando l’opzione Accessi Comuni, si otterrà la schermata in Figura 15.

Selezionando il pulsante Aggiungi Accesso:
1. Si aprirà una finestra (si veda Figura 16) per la richiesta del Numero Ambiente; in questo campo va inserito appunto il Numero Ambiente di un Ambiente
appunto configurato come "Accesso/Ambiente Comune” (vedere il capitolo Configurazione ETS nel manuale utente del software WCS);

2. Confermando il dato inserito si aprirà un’ulteriore finestra ( si veda Figura 17) per l’inserimento dell’Accesso Gestionale; in questo campo va inserita
l’etichetta che utilizza il gestionale per identificare lo stesso accesso comune (per “Micros - Fidelio” inserire i numeri 1, 2, 3, ... , 20 nient’altro.);

3. Se si attiva il check della colonna Default s’intende che la richiesta proveniente da Micros-Fidelio di creazione di una nuova chiave, se non diversamente
specificato, deve attivare l’accesso anche a questo “ambiente”;
4. Il campo descrizione viene inserito automaticamente (si veda Figura 18).
Per ogni accesso comune previsto dal sistema va ripetuta la procedura fin qui descritta.

Gestionale Ni.Ce. Informatica – Hotel2000
Premessa
Il software d’interfacciamento con i sistemi gestionali è compatibile con il software gestionale amministrativo Hotel2000 di Ni.Ce. Informatica.
Dal box di scelta multipla selezionare il gestionale amministrativo utilizzato (NI.CE. Informatica – Hotel2000); una volta effettuata la selezione saranno rese
disponibili le opzioni utili per inserire le informazioni di configurazione peculiari per il sistema selezionato. Le opzioni riportate saranno le seguenti:
• Accessi Comuni;
Nei paragrafi seguenti viene spiegato come procedere nella configurazione dei parametri sopra elencati. In Figura 19 è stato selezionato “NI.CE. Informatica
– Hotel2000”.

Inserire i dati richiesti in “NI.CE. Informatica – Hotel2000”; la comunicazione avviene tramite scambio di file di testo. È necessario specificare la cartella nella
quale saranno presenti i file veicolo della comunicazione.

Vanno inseriti tutti gli accessi comuni che sono previsti lato “NI.CE. Informatica – Hotel2000”. Dopo aver specificato tramite l’interfaccia proposta dal
sistema NI.CE. Informatica – Hotel2000 i riferimenti agli accessi comuni presenti passare alla configurazione del sistema WCS come di seguito riportato.
Selezionando l’opzione “Accessi Comuni” si otterrà la schermata in Figura 26.

Gestionale Gestione Albergo - Leonardo
Premessa
Il software d’interfacciamento con i sistemi gestionali è compatibile con il software gestionale amministrativo Leonardo di Gestionale Albergo.
Dal box di scelta multipla selezionare il gestionale amministrativo utilizzato (Gestione Albergo - Leonardo); una volta effettuata la selezione saranno rese
disponibili le opzioni utili per inserire le informazioni di configurazione peculiari per il sistema selezionato. Le opzioni riportate saranno le seguenti:
• Accessi Comuni;
Nei paragrafi seguenti viene spiegato come procedere nella configurazione dei parametri sopra elencati. In Figura 30 è stato selezionato “Gestione Albergo
- Leonardo”.

Inserire i dati richiesti; in “Gestione Albergo - Leonardo” la comunicazione avviene tramite scambio di file sono quindi necessari il cammino ed il nome dei
due file che vengono utilizzati per la comunicazione. In Figura 21 è riportato un esempio di configurazione valida.

Vanno inseriti tutti i programmatori che si desidera utilizzare con “Gestione Albergo - Leonardo”. Dopo aver specificato i riferimenti ai programmatori di
tessere presenti, tramite l’interfaccia proposta dal sistema “Gestione Albergo - Leonardo” passare alla configurazione del sistema WCS come di seguito
riportato.

4. Nella colonna Terminale Gestionale inserire la codifica utilizzata lato “Gestione Albergo - Leonardo” per identificare il particolare programmatore.
Se sono presenti altri terminali del gestionale ripetere la procedura per tutti quelli presenti.

Vanno inseriti tutti gli accessi comuni previsti dall’impianto. “Gestione Albergo - Leonardo” specifica il comportamento con al massimo 5 accessi comuni
per la tessera che si sta creando. In questa schermata è possibile definire il comportamento di default che sarà attuato.
Selezionando l’opzione Accessi Comuni, si otterrà la schermata in Figura 37.

Altro PMS che adotta il Protocollo WCS
Premessa
Il software d’interfacciamento con i sistemi gestionali prevede anche una specifica propria per la comunicazione con i PMS.
Dalla box di scelta multipla selezionare il Protocollo WCS, una volta effettuata la selezione saranno rese disponibili le linguette utili per inserire le informazioni
di configurazione peculiari per il sistema selezionato. Le linguette riportate saranno le seguenti:
•
Parametri di Comunicazione;
•
Programmatori di Card;
•
Accessi Comuni;
Nei paragrafi seguenti viene spiegato come procedere nella configurazione dei parametri sopra elencati. In Figura 19 è stato selezionato Protocollo WCS.

Una volta selezionata la linguetta Parametri di Comunicazione, si ottiene la schermata presente in Figura 42.igura 37.

Inserire i dati richiesti, con il Protocollo WCS la comunicazione avviene tramite scambio di file di testo.
È necessario specificare la cartella nella quale saranno presenti i file veicolo della comunicazione.

Vanno inseriti tutti i programmatori che si desidera utilizzare nell’interfacciamento. Dopo aver specificato i riferimenti ai programmatori di tessere presenti,
tramite l’interfaccia proposta dal sistema passare alla configurazione del sistema WCS come di seguito riportato.
Selezionando la linguetta Programmatori di Card, si otterrà la schermata in Figura 44.

1. nella colonna IP inserire l’indirizzo della macchina alla quale è stato collegato il programmatore delle carte;
2. nella colonna Porta inserire la porta alla quale lavora il servizio programmatore (tipicamente 8001);
3. selezionare il check presente nella colonna Usa Crittografia se effettivamente si usa la crittografia e quando viene richiesto (si veda Figura 46) inserire la
chiave di crittografazione;
4. nella colonna Programmatore Gestionale inserire la codifica utilizzata lato PMS utilizzato per identificare il particolare programmatore;

Dopo aver specificato i riferimenti ai programmatori di tessere presenti, tramite l’interfaccia proposta dal sistema passare alla configurazione del sistema
WCS come di seguito riportato.
Selezionando la linguetta Programmatori di Card, si otterrà la schermata in Figura 44.
selezionando il pulsante Aggiungi Accesso,
1. si aprirà una finestra ( si veda Figura 49) per la richiesta del Numero Ambiente, in questo campo va inserito appunto il “Numero Ambiente” di un Ambiente
appunto configurato come “Accesso/Ambiente Comune” (vedere il capitolo Configurazione ETS nel manuale utente del software WCS);
6. confermando il dato inserito si aprirà un’ulteriore finestra ( si veda Figura 50Figura 28) per l’inserimento dell’Accesso Gestionale, in questo campo va
inserita l’etichetta che utilizza il gestionale per identificare lo stesso accesso comune (inserire i numeri 1, 2, 3, ... , 30 nient’altro.);

7. se si attiva il check della colonna Default s’intende che la richiesta proveniente da PMS utilizzato di creazione di una nuova chiave, se non diversamente
specificato, deve attivare l’accesso anche a questo “ambiente”;
8. il campo descrizione viene inserito automaticamente (si veda Figura 51).

SEZIONE UTILIZZO

Avvio del software
Il software d’interfacciamento con i sistemi gestionali è un servizio di Windows che si avvia automaticamente all’avvio del PC se la licenza è stata attivata.
Tale servizio non prevede interfaccia utente. Per avviarne o arrestarne l’esecuzione procedere come per ogni altro servizio di Windows facendo attenzione
che il nome di questo servizio è Vimar WCS To PMS Interface Service.
Gestionale Micros-Fidelio
Premessa
La presenza del software d’interfacciamento permette il passaggio trasparente per l’operatore dei dati dal sistema Gestionale Amministrativo al Sistema
Well-contact Suite. I dati che vengono passati sono quelli principali previsti dall’anagrafica dell’ospite ed i principali dati rilevanti della relativa prenotazione.
Dati che vengono scambiati
Il sistema Micros-Fidelio prevede, per quanto riguarda l’anagrafica dell’ospite, il passaggio di:
• Nome;
• Cognome;
• Titolo (Sig., Sig.ra, etc…).
Per quanto riguarda la prenotazione è previsto il passaggio dei seguenti dati:
• Data di Arrivo;
• Data di Partenza;
• Numero Camera principale, ed eventuali altre camere coinvolte;
• Codice della Prenotazione.

Description of the software for interfacing with management systems (art. 01595)
The software for interfacing with management systems makes it possible the exchange of information between the main administrative management software
(Property Management System, also known as PMS in this manual) used for the administration of the hotel and the Well-Contact Suite Software (Basic cod.
01590 or Top cod. 01591, also known as WCS in this manual).
IMPORTANT:
Each PMS provides its own protocol for data communication. If the PMS is not among those already managed by the software for interfacing
with management systems, the communication won't be possible. In this case it is necessary to communicate this failure to the provider of
the management system, as well as to Vimar, requesting for the necessary developments to be undertaken.
Operations
• Exchange of the main personal data related to customer and reservation, from the PMS to the WCS Software, with automatic creation of customer and
reservation card.
• Writing and automatic activation of the card.
• Automatic deactivation of the keys at Check-Out.
Other Characteristics
The software for interfacing with the management systems does not provide a user interface.

INSTALLATION SECTION

How to install the software
The software for interfacing with the management systems will be automatically installed with the Well-Contact Suite Basic Software (cod. 01590) or WellContact Suite Top Software (cod. 01591) Unless you activate the service-specific license, this component is non-operational.
To activate the license you must follow the appropriate procedure described in License Activation.
After properly installing the WCS software, so that it can be used with all its features, you need to perform the appropriate configuration described in the
Chapter Configuration of the interfacing with management software.
The configuration operations can be performed only by software users with high access privilege to the software.
Software update
The software for interfacing with the management systems will be automatically updated with the WCS Software.
To update the software, proceed as described in the user manual of the WCS software installed.

CONFIGURATION SECTION

Introduction
After properly installing the WCS software, so that it can be used with all its features, you need to perform the appropriate configuration. These operations
are described in detail in the next few paragraphs. In the chapter Configuration of the interfacing with management software are described the generic
operations that apply to all types of management software, while the next few chapters describe the operations to perform for each PMS compatible system.
Configuration of the interfacing with management software
Log on to the "General Interfacing Activation/Configuration" section from the menu "Settings" as described in Picture 1.

The window shown in Picture 2 appears. From this window, if the component is not yet activated the Request Build and Run buttons are selectable while
the selection of the specific management software is not possible.

The "Well-Contact suite integrated software for interfacing with administrative management software" must be activated with an ad hoc procedure described
in the following paragraph.
License Activation
To activate the interfacing with the management software you need follow the steps listed below:
• press the Generate Request button and select the folder to save the request file (it is suggested to use the My Documents folder);
• access the site www.vimar.eu go to Products -> Product Software and select the requested item WCS-management interface activation;
• fill out the form by following the instructions and attach the file you just created;
• upon receipt of a response file, click on Activate to complete the activation and you will be asked to select the file generated for the request (.xreq extension)
and, immediately after, the one received (.xresp extension). If all goes well, you will see the message shown in Picture 3.

Clicking OK you will return to Management Interfacing Activation/Configuration window, that will look as follows; because the component has been activated,
the Generate Request and Activate buttons are no longer selectable, while it is finally possible to select the management software.

Selecting and configuring the administrative management system
From the multiple choice select the PMS used, after which more options will be available for the configuration of the selected system components. The newly
available options are a subset of the list below:
• Connection to the Bus: generic parameters required for each management system; it collects the data necessary to enable the communication of the
interface component with the system.
• Communication parameters: mandatory for all management systems; it collects the data necessary to enable the communication between the PMS and
the WCS system;
• Card Programmers: it contains the transcoding table of the card programmers which can be specified from the PMS, name ;
• Common Access: transcoding table of the common access (pool, sauns, garage, … ).
In Picture 5, for example, MICROS Fidelio1, one of the PMSs managed at the time of the writing of this manual, is selected. You may notice the presence of
all the options listed above. The following paragraphs describe the procedures to enter the data of the listed components.

In this section you should define the bus connection parameters, or the communication parameters of the Falcon Gateway service; such data can be
viewed using the Gateway Configurator installed with the software. Picture 7 displays a proper configuration.

Micros-Fidelio Management Software
Introduction
The software for interfacing with management systems is compatible with version 2.20 of the FIAS protocol developed for "Micros - Fidelio".
Selecting and configuring the PMS
From the multiple choice, select the administrative management system used (Micros - Fidelio), after which more options will be available for entering the
configuration information related to the selected system. The options are the following:
• Communication Parameters;
• Card Programmers;
• Common Access;
The following paragraphs explain how to configure the parameters listed above. In Picture 8 Micros - Fidelio was selected.

Selecting Communication Parameters, you will see what shown in Picture 9.

Enter the required data; in "Micros - Fidelio" the communication takes place via a network service; therefore, the address of the machine where "Micros Fidelio (IP of the management system) is installed, as well as the related communication port (port of the management system) are required. Picture 10 is an
example of a good configuration in which the machine where "Micros - Fidelio"is installed is the same as where the WCS is installed.

Specifying Card Programmers parameters
You must enter all the programmers you want to use with “Micros - Fidelio”. After specifying the reference to the card programmers which are present, through
the interface given by the “Micros - Fidelio” system go to the WCS system configuration, as detailed below.
Selecting Card Programmer, you will see what shown in Picture 11.

1. In the IP column, enter the address of the machine to which the card programmer is connected;
2. In the Port column, enter the port used by the programmer (typically 8001);
3. Select Use Encryption if you're actually using the encryption and when prompted (see Picture 13) enter the encryption key;

4. In the Management Programmer column enter the encoding used on "Micros - Fidelio" to identify the particular program (typical values are
'01', '02', etc...);
If there are other programmers repeat the procedure for all those present.

All common accesses provided for "Micros-Fidelio" should be inserted. After specifying the references to the present common access through the MicrosFidelio system interface, you can configure the WCS system as follows.
Selecting Common Access, you will see what shown in picture 15.

From the multiple choice, select the administrative management system used (Gestione Albergo - Leonardo), after which more options will be available for
entering the configuration information related to the selected system. The options are the following:
• Common Access;
The following paragraphs explain how to configure the parameters listed above. In Picture 30 “Gestione Albergo - Leonardo" was selected.

Software start up
The software to interface with management systems is a Windows service that starts automatically with the PC, if the license has been activated. This service
does not provide user interface. To start or stop its execution, proceed as for any other Windows service, making sure the name of this service is Vimar WCS

Micros-Fidelio Management
Introduction
The presence of the interfacing software allows the transparent transition of the data operator from the Administrative Management system to the Well-Contact
Suite System. The transferred data is the main data provided for the guest and the main data relevant to the reservation.
Exchanged data
As regards the guests' personal data, Micros-Fidelio provides the exchange of:
• Name;
• Last name;
• Title (Mr, Mrs, etc…).
As far as the reservation, the following exchange of data is provided:
• Check-in time;
• Check-out time;
• Master bedroom number, and any other rooms involved;
• Reservation Code.
In addition, the PMS here described allows the exchange of other information, necessary for the creation and activation of the cards, such as:
• reference to the card programmer to use;
• any common access to be enabled and related policy;
• any other room numbers to be enabled.
