Calendar: pianificazione, inviti, allegati e stampa Visualizzazione del calendario Accedi a Google Calendar. Viene visualizzato il calendario settimanale. Ecco un esempio: Per modificare la visualizzazione del calendario, fai clic sulle schede nell'angolo superiore destro della visualizzazione. Pianificazione di una riunione Per pianificare una riunione, fai clic sul pulsante Crea o su qualsiasi punto del calendario. 1 2 Apri Google Calendar. Esegui una delle operazioni seguenti: Opzione 1: fai clic su Crea in alto a sinistra nel calendario per aprire la pagina dei dettagli dell'evento. Opzione 2: in alternativa, fai clic su un punto del calendario per creare un evento della durata di un'ora. Fai clic e trascina per creare un evento di durata superiore. Digita quindi il titolo dell'evento nella casella. Ecco un esempio: Fai clic su Crea evento per pubblicare immediatamente l'evento oppure su Modifica evento per aggiungere altri dettagli all'evento. 3 4 Immetti i dettagli, ad esempio la ricorrenza, gli invitati, l'agenda e un promemoria. Fai clic su Salva. Modifica successiva dei dettagli Se la riunione è già stata pianificata e pubblicata, puoi modificarne i dettagli facendo clic sul titolo della riunione nel calendario. Nota. Dopo aver immesso tutti i dettagli della riunione, fai clic su Salva nella parte superiore della pagina dei dettagli dell'evento. Aggiunta di invitati 1 2 Vai alla pagina dei dettagli dell'evento relativa alla riunione. Nella sezione Aggiungi: Invitati sul lato destro della pagina, immetti le prime lettere del nome completo di un invitato per cercarne l'indirizzo nella directory aziendale. 3 4 Seleziona l'invitato per aggiungerlo all'elenco Invitati. Continua ad aggiungere gli indirizzi email degli altri invitati, a uno a uno. Importante: ● Se il tuo amministratore ha configurato Google Gruppi (mailing list) per il tuo dominio, puoi aggiungere un indirizzo di gruppo all'elenco Invitati. In alternativa, puoi creare il tuo gruppo di contatti nei tuoi contatti personali e aggiungerlo all'elenco Invitati. ● Se copi e incolli un elenco di invitati da un'altra origine (ad esempio un documento), assicurati di separare i singoli indirizzi con una virgola. Il punto e virgola non è supportato. 5 Facoltativamente, seleziona le opzioni nella sezione Gli invitati possono per consentire o impedire agli invitati di modificare i dettagli dell'evento, invitare altre persone all'evento o visualizzare gli altri invitati. 6 7 Se vuoi, compila i campi rimanenti della pagina. Fai clic su Salva. Ti verrà chiesto se desideri inviare inviti agli invitati. Gli invitati possono rispondere all'invito alla riunione e lasciare i propri commenti. Suggerimento: se vuoi controllare la disponibilità degli invitati prima di creare l'evento, utilizza la scheda Trova un orario. Puoi vedere se l'orario proposto per l'evento (nella casella blu) va bene per ogni invitato. Se necessario, utilizza le opzioni di data e ora sopra la scheda per modificare l'ora della riunione o, più semplicemente, trascina la casella blu su un orario in cui tutti gli invitati sono disponibili. Prenotazione di una sala o di un'altra risorsa per la riunione 1 2 3 Vai alla pagina dei dettagli dell'evento relativa alla riunione. Nella sezione Aggiungi fai clic su Sale riunioni e altro. Esegui una delle operazioni seguenti: Opzione 1: inizia a digitare una parte qualsiasi del nome della sala o della risorsa nella casella. Viene visualizzato un elenco di risorse corrispondenti. Ad esempio, nello screenshot seguente, quando inizi a digitare ca, vengono visualizzate due sale: Acadia e Bryce Canyon. Opzione 2: fai scorrere l'elenco per individuare la sala o la risorsa che desideri prenotare. 4 Verifica che la risorsa sia disponibile nell'orario della riunione. - Disponibile - Non disponibile 5 6 Per prenotare una risorsa disponibile, fai clic su Aggiungi a sinistra del relativo nome. Se non vi sono risorse disponibili, prova a cambiare l'orario o il giorno dell'evento. Per trovare facilmente un orario adatto a tutti gli invitati e a tutte le risorse, fai clic sulla scheda Trova un orario. Dopo aver immesso tutti i dettagli dell'evento, ricordati di fare clic sul pulsante Salva. Impostazione di un promemoria per la riunione 1 2 Apri la riunione. In Promemoria, scegli il tipo di promemoria che desideri (popup o messaggio email) e quando desideri riceverlo. 3 4 Per aggiungere altri promemoria, fai clic su Aggiungi un promemoria. Ricordati di fare clic sul pulsante Salva. Impostazione di una riunione ricorrente 1 2 Vai alla pagina dei dettagli dell'evento. Seleziona la casella alla sinistra di Ripeti. 3 Nel popup Ripeti, seleziona un'opzione dall'elenco a discesa Si ripete. 4 In base alla tua scelta nell'elenco a discesa Si ripete, definisci ulteriormente la ricorrenza della riunione, specificando tra l'altro le date di inizio e di fine (se applicabile). 5 Completa la creazione della riunione nel modo consueto. Allegare un file a un invito a una riunione Il modo migliore per allegare un file dipende dall'abilitazione o meno di Calendar Labs nel tuo dominio da parte del tuo amministratore di Google Apps. Se Calendar Labs è abilitato per il tuo dominio, vedrai la scheda Labs quando selezioni Impostazioni dal menu ingranaggio. Se Calendar Labs è abilitato per il tuo dominio Innanzitutto, assicurati che il lab di Calendar Allegati evento sia abilitato. 1 2 3 Seleziona Impostazioni dal menu ingranaggio e vai alla scheda Labs. Seleziona Attiva accanto a Allegati evento. Fai clic su Salva. Per aggiungere un allegato utilizzando questo lab: 1 2 3 Apri la riunione. Nella sezione Allegato, fai clic su Aggiungi allegato. Seleziona la casella accanto a uno o più file Google Documenti e fai clic su Seleziona. In alternativa, per altri tipi di file (ad esempio PDF), fai clic su Carica e segui i suggerimenti per caricare i file. 4 Controlla gli allegati. Di seguito è riportato un evento a cui sono allegati un documento Google e un documento di Microsoft Word precedentemente caricato in Google Documenti: 5 Dopo aver immesso tutti i dettagli dell'evento, ricordati di fare clic sul pulsante Salva. Se Calendar Labs non è abilitato per il tuo dominio In questo caso, l'allegato deve essere un documento Google o altrimenti disponibile tramite un URL (Google Documenti genera un URL per ogni documento). Per allegare un documento di Microsoft Office o PDF, basta caricarlo prima in Google Documenti e facoltativamente convertirlo nel formato Google Documenti. Una volta creato l'URL del documento, ecco come aggiungerlo all'evento: 1 2 Apri la riunione. Nel campo Descrizione copia e incolla l'URL generato da Google Documenti. 3 Dopo aver immesso tutti i dettagli dell'evento, ricordati di fare clic sul pulsante Salva. Nota. In alternativa, puoi aggiungere un allegato utilizzando uno dei metodi seguenti: ● ● Invia l'allegato agli invitati in un messaggio email separato. Pianifica l'evento in Gmail. Scrivi un nuovo messaggio e allega il file. Fai quindi clic su Invito e immetti le informazioni sull'evento. Tuttavia, non puoi prenotare una sala da Gmail, quindi dovrai modificare l'evento in Google Calendar in un secondo momento. Stampa del calendario 1 2 3 4 Assicurati che solo i calendari che desideri stampare siano evidenziati nell'elenco in I miei calendari. Se non lo sono, fai semplicemente clic sui calendari per selezionarli o deselezionarli. Nella parte superiore del calendario, seleziona l'intervallo di tempo da stampare, ad esempio Giorno o Settimana. Fai clic sull'icona di stampa. Nella finestra Anteprima stampa calendario, è possibile selezionare le dimensioni dei caratteri, l'orientamento della pagina e altre opzioni. Seleziona le opzioni che desideri e fai clic su Stampa. Calendar: impostazione di promemoria, condivisione e altro ancora Impostazione di promemoria per gli eventi Per impostazione predefinita, ricevi un'email e un promemoria popup dieci minuti prima di ogni evento nel calendario. Per modificare le impostazioni di promemoria predefinite, procedi nel seguente modo: 1 2 Apri Google Calendar. Nella sezione I miei calendari, fai clic sulla freccia a discesa che viene visualizzata quando passi con il mouse sul calendario e seleziona Notifiche dal menu a discesa. 3 Nella sezione Promemoria evento, seleziona Email o Popup dal menu a discesa. 4 5 Inserisci l'ora per il promemoria corrispondente (da un minuto a quattro settimane). Facoltativamente, fai clic su Aggiungi un promemoria per creare un nuovo promemoria o su rimuovi per eliminare un promemoria esistente. Fai clic su Salva. 6 Impostazione di notifiche per gli eventi Per impostazione predefinita, ricevi un messaggio email quando qualcuno ti invita a un nuovo evento, modifica o annulla un evento esistente o risponde a un evento. Per modificare le impostazioni di notifica predefinite, procedi nel seguente modo: 1 2 Apri Google Calendar. Nella sezione I miei calendari, fai clic sulla freccia a discesa che viene visualizzata quando passi con il mouse sul calendario e seleziona Notifiche dal menu a discesa. 3 Nella sezione Scegli il modo in cui desideri ricevere la notifica, seleziona la casella di controllo Email per ogni tipo di notifica che desideri ricevere. 4 Fai clic su Salva. Nota. Se selezioni l'opzione Agenda giornaliera, l'agenda inviata tramite email non riporterà le modifiche agli eventi che avrai apportato dopo le ore 05:00 (del tuo fuso orario). Condivisione del calendario Per impostazione predefinita, le informazioni sulla disponibilità nel calendario sono condivise con tutti i membri del dominio. Puoi condividere eventuali informazioni aggiuntive con tutti o solo con determinati dipendenti; puoi anche decidere di non condividere più le informazioni del calendario. 1 2 Apri Google Calendar. Nella sezione I miei calendari, fai clic sulla freccia a discesa che viene visualizzata quando passi con il mouse sul calendario e seleziona Condividi questo calendario. 3 4 Seleziona le opzioni di condivisione che desideri utilizzare per il calendario. Fai clic su Salva. Visualizzazione del calendario di un altro utente Se altri utenti hanno condiviso i loro calendari con te, puoi visualizzarli. Se un utente non ha ancora condiviso il suo calendario, è possibile inviargli una richiesta. 1 2 Apri Google Calendar. Nell'elenco Altri calendari a sinistra, inizia a digitare un nome utente o un indirizzo nel campo Aggiungi il calendario di un collaboratore. Nell'elenco che viene visualizzato, fai clic sul nome dell'utente di cui desideri aggiungere il calendario. 3 Se l'utente ha condiviso il suo calendario, questo verrà visualizzato nell'elenco Altri calendari e gli eventi dell'utente saranno visualizzati nel tuo calendario. Se l'utente non ha condiviso il suo calendario, viene visualizzata una pagina da cui puoi inviargli una richiesta. Modifica il messaggio predefinito, se preferisci, quindi fai clic su Invia invito. Suggerimento. Per nascondere o visualizzare gli eventi dell'utente nel tuo calendario, devi semplicemente fare clic sul calendario nel tuo elenco. Creazione di un nuovo calendario Puoi creare il numero di calendari secondari desiderato. Ad esempio, puoi impostare un calendario da condividere con il tuo gruppo di lavoro o team. Tutti i calendari creati vengono visualizzati nell'elenco I miei calendari. 1 2 Apri Google Calendar. Fai clic sulla freccia a discesa accanto a I miei calendari e seleziona Crea nuovo calendario dal menu a discesa. 3 Nella finestra Crea nuovo calendario, inserisci un nome per il calendario. Puoi inserire anche una descrizione e una località, selezionare un fuso orario e le opzioni di condivisione per il calendario. Al termine dell'impostazione del calendario, fai clic su Crea calendario. 4 Calendar: Create a team calendar If you’ve used Google Calendar, you are probably aware that you have your own calendar for workrelated events. But did you know that you can create additional calendars to schedule and track other events? For instance, you can create a family calendar to schedule your kids’ soccer games or swim lessons. You can also create a calendar specifically for your team or department at work. Having a team calendar is a great way to track: ● ● ● who’s on vacation, or going on vacation, and for how long who’s out of the office on a business trip and when they’ll return who’s taking a class and where With all this information tracked in one calendar, it’s then easy to: ● ● ● plan team meetings determine dates for team outings schedule who can handle projects Create your new calendar To create a new calendar, click the down arrow next to My calendars and select Create new calendar. Define your calendar On the Create New Calendar screen, provide the following information: ● ● ● ● Calendar Name: Provide a descriptive name for your calendar as this is what you and others will see in the My calendars section of the main calendar. Description: A description is optional but provides the team with some basic information about the calendar when they view the calendar on the Calendar Settings screen. Location: Location is also optional and is really only necessary if your calendar is made public. Calendar Time Zone: Select the country and time zone for your calendar. Share your new calendar In the next sections of the Create New Calendar screen, you’ll select who can see what level of calendar details and who can edit and manage your calendar. Share this calendar with others This setting enables you to either share the calendar publicly or just within your organization. After making a selection, you can then select what viewers are allowed to see when they view the calendar. The options available are defined by your Google Apps administrator. For our team calendar, we want everyone within our organization to be able to view the calendar’s event details but only a select group to be able to edit or add new events. Share with specific people This setting enables you to define a specific group of individuals to view, modify, or manage the calendar. To add your team: 1 2 Enter their email addresses one by one in the Person field (see image below). Define their permission settings: ● ● ● ● 3 Make changes AND manage sharing: select this option if you want the individual to add or modify event, but also to manage the calendar. With ‘manage’ permissions, the individual can, for instance, add new members to the calendar or add the calendar to a Google Site page. Make changes to events: select this option if you want the individual to be able to add and modify events on the calendar. See all event details: select this option if you only want the individual to view the events, but not modify or add events. See only free/busy (hide details): select this option if you only want the individual to view events as ‘Busy’. Click Add Person. Note: You may discover that as you enter an individual’s email address, the email address autocompletes. After selecting it, it may then appear in a list below. If this is the case, define their permission option at this point and omit step 3. 4 After adding all your team members and defining their permissions, click Create Calendar. Note: If you forget to add an individual or need add a new team member in the future, return to this section and add add them to the list following the steps above. If you need to remove an individual, simply return to this section and click the trash can icon to the right of their listing. Use the calendar After creating the calendar, it should now be visible in the My calendars section of your main calendar. If it doesn’t display immediately, you may need to refresh your browser window. Now when you create a new event, you have the option of creating it on your personal calendar or on your new team calendar. Tip: It’s easy to display events on one or more calendars. Let’s say you create the above event on your team’s calendar. You can quickly copy it to your own calendar without having to re-create it. 1 2 3 Open the event details screen. From the More Actions... drop-down menu, select the calendar you wish to copy the event to. Click Save. Now when you view your calendar, you will see the event listed twice - once on your personal calendar and also on the team calendar. And remember, if you want to hide the team calendar on your personal calendar, simply click its name in the My calendars section. To view it again, just click the name a second time. Calendar: Layer multiple calendars Layering Google Calendars can be a great time saver because you can see others’ calendars along with your own calendar. For instance, layering calendars can help you quickly find a time when certain individuals are available for a meeting. In our example, Craig wants to create a one-hour event but isn’t sure when everyone he wants to invite is available. By layering his co-workers’ calendars, he can view their events by selecting them from either the Other calendars or My calendars sections. Calendars listed in the My calendars section include those calendars which Craig has been granted authorization to manage or modify. The calendars listed in the Other calendars section are calendars Craig can only view but cannot modify. After selecting all the calendars of the individuals he wants to invite to the meeting, Craig can now quickly see who is available when and schedule his one-hour meeting in any block of available time indicated by the red boxes. Add Coworkers’ Calendars To add coworkers’ calendars to the Other calendars section, simply enter their email addresses one by one in the Add a coworker’s calendar field (1) and press Enter. If your coworkers have opted to share their calendars, they will display in the list below. If they’ve opted not to share their calendars, the Add a coworker’s calendar dialog displays, allowing you to request view access to their calendars. To request access, edit the message in the text field (2) or leave the default message as is and click Send Invite (3). Your coworkers will each receive email indicating you would like to view their calendar. If they then share their calendar with you, you will receive an email indicating you can now add and view their calendar. Layer calendars To layer multiple calendars, click once on the calendar or individual listed below the My calendars or Other calendars sections. You can layer multiple calendars over your calendar. Any calendar that displays a colored box next to the calendar or individuals’ name is layered on top of your calendar. To remove or hide a calendar from being layered on your calendar, click once on the name of the calendar with a colored box in the My calendars or Other calendars sections. Quick Tip: If you have multiple calendars layered on top of your calendar, a quick way to show only your calendar (and hide the calendars of others) is to click the down arrow to the right of your name or email address and click Display only this Calendar. This also works with any calendar listed in either section. Also notice the other options available. From the list you can: ● ● ● ● ● ● ● Display the calendar Hide the calendar Define or modify the calendar settings Create an event on the calendar Share the calendar Define notifications for the calendar Change the display color of the calendar when layered on your calendar Note: The options you see change depending on the permission you have for the calendar. Event Icons When creating or receiving events, ever notice the icons at the top of the event? Ever wonder what they mean? Below is a list of the icons you will see and a description of what each icon represents. Indicates you have one or more reminders set for the event. Indicates one or more individuals are invited to the event. Indicates an event to which you have not yet responded. Indicates an event to which you have responded Maybe. Indicates the event is private. Indicates the event is recurring or repeating. Indicates the event is a single event moved from a recurring or repeating event. Calendar: Reschedule events with Smart Rescheduler You've probably been in this situation before. You scheduled a meeting for a group of your co-workers or your team and then something unexpected comes up, requiring you to reschedule the meeting. Well, rather than roaming through everyone's calendar trying to find a new time when everyone is free - just use the Smart Recheduler Google Calendar lab to find new times for you and your team! Enable Smart Rescheduler Here’s how you enable the Smart Rescheduler lab: 1 2 3 Click the Settings gear in Google Calendar, and select Labs from the drop-down menu. Select Enable to the right of Smart Rescheduler. Click Save at the top or the bottom of the page. Reschedule the Meeting Let's say that you now want to reschedule the meeting below. There are 5 other individuals beside yourself that need to be included in the meeting. And as you can see from their calendar overlays, they all look pretty busy! 1 2 Open the event in edit mode, and click the small arrow at the right of the screen to reveal the enabled lab. There you'll find the Smart Rescheduler lab. Click Find a new time... 3 On the Find a new time screen, enter the the length of the meeting and a date and time range if desired. The information to the right will update automatically. A. If you find a time that works based on the information in green, click Schedule this.... B. If there is a conflict (orange or red text), click show details to view the conflict. In the image below, you can see there is a half-hour conflict in Molly's calendar. 4 Clicking Schedule this... pops up a confirmation notice. Notice that you have the option whether or not to notify guests. It is always good to notify your guests if you are changing the time. If you are happy with the new time, click Save changes. 5 Looking back at the calendar, it now shows that the meeting has changed. (Note: You may need to refresh the calendar to see the change.) Each attendee will receive an updated email with new date and time. The question marks indicate that the attendees have not yet responded to the change. Individuals attending the event can also use Smart Rescheduler to suggest a new time for an event. When they click Find a new time..., they receive the following message: Calendar: Create tasks in your calendar Have you tried Google Tasks in Gmail? If so, you probably already know how beneficial they can be in helping you organize your day. Did you know that Google Tasks are also available in Google Calendar? And, you can use them for more than just work-related tasks. You can even use them to help you get ready for that much needed vacation! Enable Tasks in Google Calendar Enabling Tasks is really simple. They're already incorporated into Google Calendar; it just takes a few clicks to make them visible. 1 2 3 In the My calendars section, click Tasks. When highlighted, Tasks will display to the right of your calendar. Click Tasks again, or click the small arrow, to minimize the section. Create tasks You can create tasks in different ways in Google Calendar: 1 2 Determine the day on which the task should begin, and click in the area below the date. Click Task on the pop-up window. 3 4 Give the task a name and include any notes you wish to add. Optionally, you can create new tasks by clicking the + sign in the task area. However, the task won't display on the calendar unless you modify it and add a date. Modify tasks To modify the task date or add additional information: 1 2 3 Click the > to the right of the task name. Enter the appropriate date and additional information. Click Back to list when finished. Note: Tasks created in Google Calendar are also visible in Gmail. Reorder and move tasks After creating tasks, you may want to reorder the list. Click on Actions at the bottom left of your task list. You can use this menu to move your tasks up or down, edit their details, print your task list, sort by due date, and more. To quickly drag tasks up or down in the list: 1 2 Place your cursor to the left of the check box until it turns into a hand. Click on the blue-dotted border, and while holding down your left mouse button, drag the task up or down in the list. Rename task lists You can create multiple task lists. The default name for your first list contains your username. To rename it, or any other list: 1 2 3 Click the Switch list icon to the right of the trash can. Select Rename list. Note you can also create or delete a list from this menu. Enter a new name for the list, and click OK. Complete tasks After completing a task: 1 2 Check the task's box in the calendar, or... Check the task's box in the list. Checking one box also marks the other as complete.
